A successful, highly respected, 5 provider private practice, Eye Site of Tampa Bay, is seeking an administrator. It is in two locations in the coastal Tampa Bay area and employs approximately 60 employees.
The position will report to physician owners. Responsibilities will include management of daily operations, AP and payroll, oversight of insurance and vendor contracts, awareness and oversight of staying within financial parameters of the annual operating budget, and oversight of the practice facilities. Additionally, the position will be responsible for personnel, such as recruiting, hiring and disciplining, as well as ensuring that all employees have an understanding of the Employee Manual and the rules that govern the practice. In the past two years we have modernized our practice management and EMR software, moved into a new state-of-the-art facility, and are ready for launching into the future.
The ideal candidate must be a team player, comfortable in a leadership position, with a minimum of 3 years medical practice management experience, preferably in ophthalmology. Applicant must also be well versed on Medicare payer policies, as well as having experience with practice management software programs.
May require travel between office locations.
Duties and Responsibilities:
Ensure delivery of high quality patient care by coordinating activities that improve patient access to the satisfaction of both the patient and the physician.
Manage and resolve any issues arising with the physicians, patients, staff or outside vendors.
Coordinate with the practice's CPA to develop the office budget for both sites.
Develop, implement and monitor each department’s operational plans. Manage plans on a daily basis.
Work with physicians to maximize appointment access.
Monitor the resolution and escalation of patient issues and resolve any problems to the satisfaction of the patient and practice.
Implement and assist in developing training programs with department supervisors to ensure implementation throughout the practice.
Monitor departmental staffing requirements and productivity levels.
Coordinate the recruitment, hiring, orientation and retention of clinical and administrative staff with each office manager.
Coordinate with the physicians and department supervisors to determine future staffing and coverage levels.
Develop and maintain appropriate internal communication pathways for the staff. Advise and direct departments of any administration/clinical changes, requirements or procedures.
Perform 90 day and annual reviews in conjunction with physicians and department’s input.
Participate, communicate and implement staff policies and procedures and work with departments to ensure staff are operating within parameters.
Initiate and maintain disaster protocols.
